Position Summary
We are seeking a detail-oriented and highly dependable Offshore Operations Support Specialist to support our dispatch and administrative functions. This role is critical to maintaining seamless logistics operations during extended business hours and is ideal for a candidate with a background in transportation, dispatch, or logistics coordination. The successful candidate will initially focus on dispatch coverage, with opportunities to expand into cross-functional areas such as customer service, accounts payable (AP), equipment control, and billing support.
This role requires close collaboration with our U.S.based team, including participation in a structured training program involving job shadowing, process immersion, and system familiarization.

Key Responsibilities
Dispatch Operations Support

Monitor container and driver status through our TMS PortPro and associated reporting systems.

Schedule and manage appointments via terminal platforms (e.g., eModal, APM, FMS, VMX, WBCT/Yang, YTI).

Assign drivers to shipments based on location, availability, and delivery destination.

Respond to and manage incoming dispatch-related email communications, especially over weekends.

Maintain accuracy in operational dashboards, load tracking, and system updates.
Administrative and Financial Support

Assist with entering rate confirmations and processing invoice data for carrier payments.

Support basic Accounts Payable functions during low dispatch periods.

Ensure alignment between operational reports and PortPro entries.

Participate in quality checks to monitor data accuracy and highlight discrepancies.
Cross-Functional Contribution (Phase Two)

Provide support for customer service tasks as required.

Participate in equipment control activities, including the management of empty containers and chassis logistics.

Engage in training sessions for billing, invoicing, and other operational tasks in alignment with business needs.

Qualifications

Bachelor’s degree or diploma in Business, Logistics, Supply Chain, or related field preferred.

1–2 years of experience in logistics, dispatching, or transportation coordination is desirable.

Familiarity with TMSs like PortPro, Trinium or similar dispatch management systems is an advantage.

Proficiency in appointment scheduling tools such as eModal and terminal appointment systems.

Strong communication skills in English (verbal and written).

Ability to work independently, handle time-sensitive tasks, and collaborate across time zones.

Must be comfortable with early morning shift hours based on U.S. business timeframes.

Work Schedule

Training Period: Monday to Friday (India time), including shadowing sessions with senior U.S.-based personnel.

Training & Onboarding Approach
The successful candidate will undergo a structured training program, beginning with support for a single client account. Responsibilities will expand progressively through cross-training, enabling broader operational support capabilities. The goal is to ensure a smooth transition into the role, with the offshore team becoming fully operational within weeks of onboarding.
